Return & Refund Policy
This Return & Refund Policy applies to all rental services provided by Sanctum Technologies Private Limited (“Company”, “we”, “us”) to its corporate and enterprise customers (“Customer”, “you”). This policy should be read in conjunction with our General Terms & Conditions.
1. Applicability
• This policy applies only to rental of IT equipment including laptops, desktops, printers, scanners, and related peripherals.
• As the Company primarily services corporate customers, returns and refunds are governed by commercial contract principles and agreed terms.
2. No Return After Acceptance
• Equipment shall be deemed accepted by the Customer upon successful delivery and installation.
• Once accepted, the Equipment cannot be returned or exchanged during the agreed rental period, except as explicitly provided under this policy or the applicable agreement.
3. Returns Due to Technical Issues (DOA / Faulty Equipment)
• If the Equipment is found to be dead-on-arrival (DOA) or non-functional at the time of delivery, the Customer must notify the Company within 24 hours of delivery.
• The Company will, at its discretion, provide a replacement equipment of similar configuration within a reasonable timeframe.
• Refunds shall not be applicable in such cases where replacement is provided.
4. Mid-Term Returns / Early Termination
• Early termination or mid-term return of Equipment shall be governed strictly by the notice period, lock-in period, and charges mentioned in the quotation, work order, or agreement.
• Rental charges for the unexpired portion of the rental term shall not be refundable, unless explicitly agreed in writing.
5. Refund of Security Deposit
• Any refundable security deposit collected shall be refunded after successful return and inspection of the Equipment.
• Refunds shall be processed after deducting:
o unpaid rental charges or taxes;
o costs for damages beyond normal wear and tear;
o replacement cost for missing accessories or components.
• The Company shall process the refund within 15–30 business days from the date of final settlement.
6. Condition of Returned Equipment
• Equipment must be returned in good working condition, subject to normal wear and tear.
• All original accessories, adapters, cables, licenses (if any), and components must be returned.
• Equipment returned with physical damage, data breach risk, or missing items may attract repair or replacement charges.
7. Non-Refundable Charges
The following amounts are non-refundable: - rental charges already invoiced; - installation, logistics, relocation, or de-installation charges; - charges incurred due to Customer-requested customization or upgrades; - penalties arising from breach of agreement.
8. Data Responsibility
• The Customer is responsible for backing up and removing all data before return of the Equipment.
• The Company shall not be liable for any data loss.
• Upon request, the Company may provide data sanitization services as per its data security policy.
9. Force Majeure
No refunds shall be applicable for delays or non-performance caused by events beyond the Company’s reasonable control, including natural disasters, strikes, government actions, or force majeure events.
10. Dispute Resolution
Any disputes relating to returns or refunds shall be resolved in accordance with the dispute resolution mechanism outlined in the General Terms & Conditions.
